Stellar Staff Virtual Assistant Team / PDT timezone
Stellar Staff is seeking an exceptional Head of Recruitment to lead our talent acquisition efforts for both client job orders and internal positions. This role will be responsible for managing a team of recruiters, ensuring high-quality candidate selection, and maintaining superior job order fulfillment rates. The ideal candidate will have extensive experience in recruitment, particularly for remote/virtual positions, and a proven track record of building and leading high-performing teams.
Team Leadership & Management
Lead and supervise a dedicated team of recruiters responsible for fulfilling client VA job orders
Set clear performance expectations and hold team members accountable for results
Develop and implement training programs to enhance recruiter effectiveness
Coach, mentor, and develop team members to achieve their full potential
Address underperformance promptly through additional training or termination when necessary
Conduct regular performance reviews and provide constructive feedback
Client Job Order Fulfillment
Oversee the end-to-end recruitment process for virtual assistant positions across diverse industries
Implement strategies to achieve and maintain a 95%+ fulfillment rate for all client job orders
Work to continuously reduce time-to-fill metrics while maintaining candidate quality
Ensure all placed VAs meet Stellar Staff’s rigorous quality standards
Develop and refine role-specific screening methodologies for different client industries
Internal Recruitment
Manage the recruitment efforts for internal company positions including CSMs, bookkeepers, department heads, and other roles
Partner with department leaders to understand their staffing needs and create effective hiring strategies
Ensure all internal hires align with company culture and performance expectations
Process Optimization
Monitor and maintain every stage of the existing recruitment process
Identify opportunities for improvement and implement changes to enhance efficiency
Develop innovative approaches to difficult-to-fill positions
Continuously refine candidate assessment and selection processes
Implement and optimize recruitment metrics and reporting
Cross-Functional Collaboration
Work closely with Client Success Managers to understand client needs and ensure appropriate matches
Collaborate with the executive team to align recruitment strategies with company growth goals
Maintain open communication with all departments to understand evolving staffing requirements
Serve as the final point of accountability for all recruitment operation
Experience & Education
5+ years of progressive experience in recruitment or talent acquisition
3+ years of experience leading and managing recruitment teams
Proven experience with international recruiting, particularly in the Philippines
Track record of successfully implementing and optimizing recruitment processes
Experience recruiting for remote/virtual positions
Bachelor’s degree or equivalent experience in Human Resources, Business, or related field
Skills & Knowledge
Deep understanding of recruitment methodologies and best practices
Strong knowledge of candidate assessment and selection techniques
Experience developing role-specific screening criteria
Excellent leadership and team management abilities
Superior communication skills, both written and verbal (English)
Proficiency with Applicant Tracking Systems and recruitment technologies
Understanding of the virtual assistant services industry (ideal)
